Candidate Terms
Last updated: May 25, 2026
Short version
An AI will ask you written questions for a job you've been invited to interview for. We don't record your voice or video. The Employer sees your answers and an AI-generated summary. We don't use your interview to train AI models. You have rights, listed below. If anything goes wrong or you need help, email info@vettahire.com.
These Candidate Terms apply when you access a VettaHire screening interview through a link from a hiring team ("Employer"). VettaHire ("we," "us") operates the interview platform. You are not entering a subscription with us — these terms explain how the interview works and your choices.
Our Privacy Policy describes how we handle your personal information and is incorporated by reference.
1. What this is
This is a text-based AI screening interview, not a live video or phone interview. An AI assistant asks questions in writing and you answer in writing. Your answers are saved as a transcript and summarized for the Employer that invited you.
We do not capture voice, video, or biometric data.
Interview integrity checks. During the interview, our system uses automated checks to detect signs that answers may not be your own — for example, responses that appear copy-pasted from another source. If we detect signals like this, we flag them to the Employer alongside your transcript. A flag is information for the Employer to consider; it does not automatically disqualify you. The Employer decides how to weigh it.
Human review. AI summaries and scores are designed to assist the Employer's human reviewers — not to make hiring decisions on their own. The Employer is responsible for ensuring a human reviews your interview before making any decision that significantly affects you.
2. Your choices
Before the interview begins, you'll see an in-product disclosure. You can choose to Accept and start or Decline. If you decline, no interview answers are recorded.
What declining means. Declining means we don't record an interview. However, the Employer's hiring process may require completing this screening to be considered for the role. If you're not comfortable proceeding, you can contact the Employer to ask about alternative assessment methods — many Employers will offer one if asked.
Your interview link is for you only. Don't share it. If someone else uses your link, their answers will appear under your name to the Employer, which can hurt your application.
Time and breaks. A typical interview takes 10–20 minutes. If your browser crashes mid-interview, contact us at info@vettahire.com and we'll do our best to help.
3. How we use your information
We process your interview data on behalf of the Employer for their hiring process. The Employer is the controller of your data; we are the processor acting on their instructions.
What we do:
- Share your transcript, summary, and integrity flags with the Employer who invited you
- Use a third-party AI provider (Deep Infra, operating in the United States) to generate interview questions, transcripts, and summaries
- Send you transactional email (interview invitations, reminders) via Resend
- Host all data on Cloudflare infrastructure in the United States
What we don't do:
- We don't sell your personal information
- We don't use your interview content to train AI models
- Our AI provider operates a zero data retention policy: your responses are not stored on disk by them and are not used for training
- We don't share your interview with anyone outside the Employer that invited you, except as required by law
How long we keep your data. Your interview is retained for as long as the Employer keeps the job posting active, or per their retention schedule. You can request deletion at any time using the contact methods in section 4.
For the full list of third-party providers, see Sub-processors.
4. Your rights
Depending on your location, you may have rights under laws including the GDPR, UK GDPR, CCPA/CPRA, and similar laws. These can include rights to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data
- Object to or restrict processing in certain situations
- Request human review of decisions based on automated processing
- Lodge a complaint with a data protection authority
How to exercise these rights. Because the Employer is the controller of your interview data, requests are usually handled by them — contact the Employer first if you can. You can also email us at info@vettahire.com or use our privacy request form, and we'll either help you directly or forward your request to the Employer and confirm what we've done. We aim to respond within 30 days.
Human review specifically. If you believe a decision about your application was made solely by automated processing without meaningful human involvement, you have the right to request human review. You can use the human review form or contact the Employer directly.
Local laws. Depending on where you live or where the job is, additional notices and rights may apply — for example, the EU AI Act, NYC Local Law 144, the Illinois Artificial Intelligence Video Interview Act, and the Colorado AI Act. The Employer is responsible for providing the notices required of them; contact them for specifics about your jurisdiction. We support them in meeting these obligations.
5. Accessibility
If you need accommodations to complete the interview — for example, extended time, screen reader compatibility, or an alternative assessment format — contact the Employer who invited you, or email us at info@vettahire.com. We'll do our best to help.
6. Age
This Service is not intended for candidates under 16. If you are under 16, please do not proceed and contact the Employer for an alternative process. Some jurisdictions require parental consent for processing data of minors; the Employer is responsible for handling these requirements.
7. Conduct
Don't submit unlawful, harassing, or malicious content. Don't try to disrupt, probe, or reverse-engineer the Service. We may suspend links that pose a security risk.
8. Disclaimers and accuracy
The interview service is provided "as is" without warranties. AI outputs can be inaccurate or incomplete. We are not the Employer and do not make hiring decisions.
If you believe the AI mischaracterized your responses or made errors in summarization, contact us at info@vettahire.com or the Employer that invited you. We take accuracy seriously and will look into it.
